Responsibilities:
This position is with the Department of Health in Orange Healthy Start Program.
This is a specialized clerical support position that requires independent decision-making responsibility and provides support to the Healthy Start Program, and team members.
This position is responsible for initiating initial intake calls to new referred clients, initiating communication with Managed Care Organizations (MCO), and performing a range of administrative functions, including front desk, and data entry activities.
Initiates calls to new referred Coordinated and Intake Referral clients to introduce the program, purpose of call, and transfer the call to Coordinate, Intake and Referral assigned team members.
Document contact and other pertinent information in the Wells Family System (WFS) and update initial contact daily phone log with outcome of the phone contact.
Contacts MCO Medicaid Plan to inform of Healthy Start services provided to recipients by:
Creating and obtaining data-lists to determine Medicaid eligible clients who have received a completed Healthy Start service with a care coordinator; analyze client records to identify Medicaid plan of the recipient and date of last completed Healthy Start service, Email the appropriate MCO (Medicaid Plan) contact person and document the email communication to the MCO in client records within the prescribed timeframe.
Provides information to the general public regarding the services rendered by the agency or the state, and general information concerning the location and services offered by other state agencies.
Updates telephone voice mail messages and post signage as needed.
Answers the telephone, screens individuals, and calls by securing information so that they may be given correct information or by direction and/or referral to appropriate source.
Takes and relays messages and information.
Refers calls appropriately, greets visitors, maintains order in the reception area, follows/adheres to office security protocols and provides information and directions.
Receives, sorts, and distributes incoming and outgoing mail.
Mails out-of-county screens to the appropriate county.
Provides appropriate referral information.
Performs a range of associated administrative functions, as appropriate, including but not limited to, verifying client demographic information in the Florida Medicaid Management Information System and Women's Infants and Children (WIC) data systems.
Update information if necessary, in Wells Family System (WFS) and notify assigned care coordinator (when applicable).
Document birth outcome findings into Wells Family System WFS.
Completes statistical reports by required time frame according to protocol.
Maintains and safeguards both hard copy and electronic documentation and records.
Secures documents, files, and prepares records for retention.
Performs daily clerical activities including typing, data entry, bookkeeping, filing, faxing, etc.
Operates and/or utilizes a variety of standard business and office machines and equipment including copiers, calculators, fax machines, scanners, computers and printers and other related equipment with accuracy.
Provides back-up assistance to all other staff assistants, as required.
Performs other routine office duties and other related work as required and assigned.

Qualifications:
A High School diploma/ GED One year of verifiable secretarial or clerical experience, customer service experience including communication by greeting visitors, confirming demographic information, answering questions, and explaining benefit services.
One year of verifiable experience performing data entry.
One year of proficient computer experience with Microsoft Suite programs.
Experience communicating with health care providers, offices and/or manage care organizations.
Willing and able to work, Monday through Friday between the hours of 8:
30AM and 5:
30PM.
Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency.
This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
Emergency duties may also include in-state and/or out-of-state deployment.
